Job Title: Logistics Assistant (Transport)
Post Grade: G4 – Fixed Term
Duty Station: Mombasa
Under the supervision of the Section Head (or as otherwise advised), the incumbent will be responsible for the following duties:

Major Duties and Responsibilities:
* Ensure all contracted transporters are duly notified of the commodities contracted for dispatch, loading points and conditions of uplift.
* Closely monitor dispatch progress per landside transport instruction (LTI), update LTI balance report with current remarks on status and promptly distribute to client units for update.
* Draft correspondence with transporters and recommend or propose appropriate actions to be taken for delayed dispatches or other non conformances.
* Monitor performance of transporters on their orders and be proactive to ensure uplift of commodities is within given timelines.
* Monitor small stock balances to ensure follow up with colleagues and transporters for their timely uplift.
* Guide and direct transporters on dispatch priorities and balanced food basket for each project and destination so as to ensure timely food distributions at receiving end.
* Ensure transporters use correctly licensed trucks for different types of cargoes, e.g. transit, local or export so as to always adhere to customs regulations when uplifting WFP consignments.
* Ensure full compliance with applicable load limit restrictions.
* Keep abreast of statutory regulation changes and developments that affect the transport industry.
* Provide update on transport related matters as well as assist in preparation of monthly performance evaluations.
* Monitor incoming shipments, pipeline information and project needs so as to pre-plan and maximise on direct dispatch.
* Establish contacts with clearing agents to ensure prompt preparation of customs transport documents as well as resolve any issues encountered en route or at boarder control points.
* Perform other related duties as required.

Qualifications: Secondary school education. Training in administration and/or supplemented by commercial or related courses.
Desirable: University degree (or other acceptable tertiary level qualification) in commerce, finance, administration, any of the social sciences, transport, logistics or related field.

Experience and Skills: At least three years’ experience including at least one year in the field of accounting, transport, insurance, statistics, operations or another related field. Ability to review a variety of data, identify and adjust data discrepancies. Identify and resolve operational problems. Ability to communicate moderately complex matters clearly and concisely. Ability to perform detailed work, work of a confidential nature and/or to handle a large volume of work possibly under time constraints. Ability to deal patiently and tactfully with people of different national and cultural backgrounds. Produce organised, accurate and well documented records conforming to the required format with well analysed data. May be required to provide guidance on office practices to staff on lower grades.
Knowledge: Experience utilizing computers, including word processing, spreadsheet and other standard software packages and systems.
Languages: Excellent written and spoken English, good spoken Kiswahili.
