Overall responsibility:
• This is a position based at the JRS Offices at Kakuma Refugee Camp. The holder will manage, administers and maintain the organization information system including servers, computers equipment, internet, firewall, e-mail and file servers, and local and wide area networks installations at the JRS Offices and Learning facilities.
• In addition the Job holder will be expected to be the primary technical liaison person for the JRS e-learning programme.
• Job holder is also expected to be knowledgeable in Generator and Solar power systems and capable of supporting its installation and maintenance.

Key Responsibility Areas:
1. Manages the Organization information system including hardware, software and networks.
2. Assesses current and future data processing needs for the organization users jointly with the organization management with a view to either modify existing systems and writes/installs or recommends new programs and hardware to meet user needs.
3. Assures system documentation by directing the writing of detailed descriptions of the system components in the organization.
4. Supervises the training of user department personnel in the use of PC’s, terminals, printers and other peripherals in addition to the program applications installed.
5. Inducting and orientating new personnel in the department on company’s policies and procedures.
6. Ensuring Security and uptime of mail and file servers and other communication servers.
7. Liaising with the ISP support to ensure continuous availability of computer-based communication
8. Network optimization to ensure that network does not become an operational bottleneck
9. Compiling and filing daily assets status reports and incidence as relates to IT department and forwarding the compiled and analyzed report to the superiors’
10. Timely feedback on newly implemented systems
11. Clear communication with the Regis person (downloading courses, server, etc.).
12. Work with students as well and help students with operational questions.
13. Any other responsibilities assigned by JRS management.

We had taken a few days off to recharge as we decide where we want Career Point to be in the next few months. A lot of the changes we’ve been debating on have been in the pipeline just waiting for the ‘perfect opportunity’.

And so today, lets handle the issue of timing and more so when we have to wait for the right time to start something.

It bothers me now when I hear people describe a personal set of conditions that need to be met before they can make the next move in their life.

Most often, we’re just making excuses — creating obstacles that aren’t actually there, placing the blame on some outside force we can’t control, and choosing to let day after day of inaction turn into many years of waiting for our cosmos to align.

In other words, we  stay where we’re comfortable until it’s the perfect time to move on.

“Once I find a better job, then I’ll leave this one.”
“Once I save enough money, then I’ll stop living at my parents’ place.”
“Once I’m out of this stressful period of my life, then I’ll quit smoking.”


What’s even worse are the people who connect their obstacles in a way that makes their current situation circular, like a trap they will never escape:

“I can’t pursue my dream career unless I leave my job, but I can’t pay the bills unless I stay at my job.”

Then there’s also the people who have a thousand complaints about their life. They typically don’t even explain any connections between their obstacles, they just rant about anything that’s causing them stress, but do nothing to correct any of it. They’re so overwhelmed they don’t even know where to begin, and their easiest option is to give up.

If any of this sounds familiar, then my advice to you is this:
Stop waiting for that “perfect time” to make your next move. Perfect timing doesn’t exist. It’s fictional. You’ll wait forever for it.

There will never be a perfect time to leave your job, move out of your parents house, and start from scratch. Similarly, there will never be a perfect time to get married, have a baby, or have another baby. That’s because no matter when you make these choices, they will involve risk — and it’s the risk involved that makes choices like these easier to put off until another day.

What you often fail to realize is you’re not just waiting, you’re stagnating. You stop growing, hinder your advancement, and basically become dull as a result of your choice to keep life on pause.

So if you want to create change in your life, then stop waiting. Let go of perfection and act. Once you have, you’ll only regret you didn’t start doing it sooner

o Ensure that staff loans, medical expenses and any other staff deductions are done on time and other personal expenses arising from recharges are submitted to payroll in time for deduction.

2. Mission Travel
o Daily process staff Mission Travel Advances and Field Imprests in accordance with the ILRI Travel Policy guidelines;
o Process on a timely basis all travel expense reports by ensuring they are expense correctly to the appropriate expense codes, cost centre and grant code;
o Ensure staff/travelers are given copies of the final calculations of their travel expense claims being posted to their personal account;
o Daily communicate with staff, advising the status of their personal accounts and address staff questions.

3. Third-Party Invoicing
o Receive information from service units/service provider and prepare the invoice for the General Accounts Manager’s approval;
o Post all invoices to the receivable account and assist the service unit managers to dispatch the invoices and follow up payments by the organization.

4. CIP and ISAAA Hosted Institutions’ Accounts
* Monthly review of CIP and ISAAA accounts and send statements to budget holders;
* Monthly invoice and allocate payments made into the two accounts.

Finance Officer
Reporting to the Finance Manager, the Finance Officer will provide financial and management support
to Jhpiego Nairobi finance office. S/he will handle day to day financial operations with emphasis on
accounts payable, bookkeeping and advance documentation.

Responsibilities:
• Maintain, monitor, and disburse funds from the project account(s) in accordance with Jhpiego’s
financial policies and procedures
• Code, track, vouch and accounting processes, invoices, advances and expense reports for payments
• Periodically reconcile suppliers, consultants and staff advance statements to ensure that pending
bills are settled on time and follows up on overdue expenses as necessary
• File accounting documents on timely basis and in compliance with laid down guidelines
• Collect and disburse cash and documents all cash transactions
• Assist to develop annual budgets for program activities and office costs
• Assist in the preparation of monthly financial reports.
